Administrative Assistant

Under the direction of the BSAS Senior Managers, makes minor decisions on the part of the manager.  

  • Monitors and updates support operation information systems to support the day-to-day operation of the organization.

  • Assists by handling completely, or in part, correspondence, report preparation, filing, expense tracking, travel arrangements, telephone and other inquiries.  

  • Arranges for and makes appointments, operates a PC and other office equipment.  

  • Handles confidential company proprietary data, such as that pertaining to the operation of entire organization.  

  • Also provides principal administrative support in an office, usually to one individual, and in some cases to the subordinate staff of that individual.  

  • Maintains a close and highly responsive relationship in the day-to-day activities of the five BSAS managers and supervisors.  Works independently, receiving a minimum of detailed supervision and guidance.  

  • Performs varied clerical and administrative duties requiring a knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.  

  • Carries out recurring office procedures independently.  

  • Selects the guideline or reference which fits the specific case.  

  • Supervisor provides specific instructions on new assignments and checks completed work for accuracy.

Performs varied duties including:

  1. Responds to routine telephone requests which have standard answers; refers calls and visitors to appropriate staff.  Coordinates timely staff response and may send form letters

  2. Maintains overall BSAS calendars; makes appointments; and arranges for meeting rooms

  3. Reviews materials prepared for managers’ approval for typographical accuracy and proper format

  4. Maintains recurring internal reports, such as time and leave records, office equipment listings, correspondence control logs

  5. Requisitions supplies, printing, maintenance, or other services and establishes and maintains company office files

  6. Maintains company Petty Cash Account, Company Key Control

  7. Greets BSAS visitors

  8. Makes travel and meeting arrangements as requested by management

  9. Maintains BSAS Policy and Procedure Master Records

  10. Functions as the BSAS Deputy Security Manager and assist the Security Manager with completing all actions involving security matters; assist new employees with obtaining required security clearance and assist current employees with updating and maintaining required clearances; maintain required level of training status to maintain access to JPAS

  11. Coordinate with the 160th Industrial Security Manager to provide Compound Access Badges for employees.

  12. Function as the BSAS focal point for the DoD Common Access Card (CAC) and coordinate with the government representative to acquire and maintain current CACs for employees; responsible for CAC accountability for terminated employees.
